<p><strong>Job Summary:</strong> Under the supervision of the Programs and Services Manager, the Administrative Officer provides confidential administrative and secretarial support to the management team. He/She assists with the activities related to programs and service, triages information of a sensitive and confidential nature, coordinates the flow of information, acts as a strong support to the Executive Director in her work, ensures accurate and timely delivery of administrative services, and keeps the Program and Services Manager apprised of issues and activities. This person interacts with senior leaders, the Board of Directors, and administrative support staff across the organization to convey information utilizing strong communication abilities. The individual works independently and communicates with internal and external stakeholders/customers in a manner that promotes positive and respectful relationships. He/She will also problem solve and assist in making judgments that affect the accuracy and efficiency of the organization.</p>
<p><strong>Responsibilities/Duties: </strong></p>
<ul>
<li>General office support as needed, perform clerical duties to include but not limited to: photocopying, faxing, mailing, answering phone, and filing</li>
<li>Act as support to the Executive Director which may include but not limited to: maintaining agendas, meeting coordination, assistance with general grant applications and filing, travel arrangements</li>
<li>Support the organization in the coordination of program delivery and development</li>
<li>Reply to general information requests</li>
<li>Setup and coordinate meetings and conferences as needed</li>
<li>Provide secretarial support to the management team</li>
<li>Arrange travel and hotel details for staff and Board of Directors as needed</li>
<li>Assistance with membership renewals and development as needed</li>
</ul>

<p><strong>Skills and Qualifications: </strong></p>
<ul>
<li>Strong English communication and written skills</li>

<li>Must possess a level of education, training and experience equivalent to a diploma in business or administrative management plus two years recent, related experience supporting senior level management</li>
<li>The candidate must be an effective communicator: He/She will respond to internal and external enquiries with diplomacy, courtesy and discretion</li>
<li>He/She will possess superior interpersonal skills including the ability to establish and maintain cooperative and collaborative working relationships with a wide range of constituencies in a diverse community</li>
<li>He/She must have a keen sense of organization and ability to multi-task. Effective time-management skills including the ability to organize, prioritize work and meet frequent and tight deadlines are a proven asset</li>
<li>Must have strong computer skills (MS Word, Excel, Outlook), knowledge of design software and database an asset</li>

				<content:encoded><![CDATA[<p>Would you like to dance in Namibia with an NGO that harnesses the arts to engage, inform and empower young people to tackle social issues?</p>
<p>We are seeking 3-6 outstanding, self-motivated and energetic dance students or graduates with a desire to experience dance in a development context. You will be working with 3-6 members of the OYO Dance Troupe to create a piece that will be toured to reach learners and members of the public. The piece will directly tackle a social issue that is pertinent to the moment and the community. We are looking for talented individuals who have the skills to work creatively and to a tight deadline, who are vibrant, reliable performers, comfortable as role models, confident at building new relationships, and ready to adapt quickly to new people in a new culture.</p>
<p>On this Dance Experience with OYO, there will be 4 weeks of full-day rehearsals in Windhoek to exchange skills and create the new piece, immediately followed by performances. 				<content:encoded><![CDATA[<p>Regent Park School of Music provides high quality, affordable music education to youth-in-need in Regent Park and other high priority areas in the City of Toronto including Parkdale, Jane &amp; Finch, and Lawrence Heights.  Over the past decade, RPSM has grown from 71 students in the basement of a church to over 1,000 student experiences annually across the GTA.  Located in the heart of Regent Park in the new Daniels Spectrum, staff, faculty and volunteers provide both private and group music lessons for a wide range of instruments.</p>
<p>RPSM is currently in the third year of a five-year strategic plan that aims to grow programming to over 3,000 student experiences in Toronto.  Satellite programs are being expanded in other lower income areas of Toronto to develop new music programs that will encourage positive peer influence and engagement. Music provides creativity, discipline and collaboration where it would otherwise not be possible and enables these skills  to transfer to other areas in the students’  lives.</p>
<p><span style="text-decoration:underline;">The position</span>:</p>
<p>Regent Park School of Music is seeking a Development Professional with solid development training and a track record of accomplishment in at least one area of personal call based solicitation: corporate, individual, foundation or government.  In order to maximize contributed revenues a solid knowledge of managing individual, corporate, foundation and government prospects is essential.   Currently the organization administers a $700,000 campaign budget, and is planning to expand the base of support.  The Director of Development must inspire and utilize the Board and Foundation Board to expand the reach of the solicitation program.</p>
<p>The position reports to the Chair of the RPSM Foundation and will provide leadership and counsel to senior Management and the RPSM Board of Directors on all components of RPSM Fundraising.  The purpose of the RPSM Foundation is to provide financial support to the RPSM by fundraising as well as holding and managing financial assets. This dual-charity structure is common in the charitable sector where organizations like the RPSM are supported by a dedicated foundation (which is also a registered charity for tax purposes) while the primary charity, in this case the RPSM, delivers its programs and services in the community.</p>
<p>The Director is a member of the School’s senior management team and contributes to the planning and future direction of RPSM.  The Director of Development is also responsible to manage the revenue and expense budget for the Development portfolio.</p>
<p><span style="text-decoration:underline;">Primary Responsibilities</span>:</p>
<p>Expand RPSM’s reach into the community ensuring that the school maximizes contributed and in-kind revenues.</p>
<p>Develop and execute the strategy to manage prospect identification, cultivation, solicitation and stewardship activities in an environment with minimal administrative support.</p>
<p>Oversee and execute the renewal of existing individual donors, corporate partners, and foundations.</p>
<p>Expand RPSM’s reach into the community by developing and implementing a donor relations and stewardship program.</p>
<p>Attend and represent RPSM at both concerts and other public events as required.</p>
<p><span style="text-decoration:underline;">Skills Required</span>:</p>
<ul>
<li>Passion about the impact music can have on people’s lives.</li>
<li>University degree in development, business administration or arts management desirable</li>
<li>Minimum 3 years experience in fundraising and development, preferably in the arts/non-profit sector.</li>
<li>An interest in music and music education is essential.</li>
<li>Superior writing and communication skills. Experience in writing grant applications is an asset.</li>
<li>Familiarity with contemporary office computer programs and web-based business tools.</li>
<li>Energetic, positive, detail-oriented, passionate, collaborative, with the ability to be a strategic thinker.</li>
<li>Strong initiative and self-motivation.</li>
</ul>
<p><span style="text-decoration:underline;">Compensation:</span></p>
<p>Compensation is commensurate with experience and achievement.</p>

<p style="text-align:left;"><span style="text-decoration:underline;"><strong>Purpose / Description / Objectives</strong></span><br />
The Dance Umbrella of Ontario (DUO) has a brand identity package that is no longer in alignment with the organization’s recently revised vision and core values. DUO’s logo is inconsistently used on our web and print materials. This project will encompass a redesign of DUO’s Brand Identity/Logo and website. A full statement of work and/or project plan should be provided by the applicant, outlining all tasks, milestones, UAT (user<br />
acceptance testing) plans, release dates, training for staff, and cost breakdowns. The budget must encompass all design, production, and any software acquisitions necessary for development and maintenance of the website.</p>
<p style="text-align:left;"><span style="text-decoration:underline;"><strong>There are two phases to this project:</strong></span></p>
<p style="text-align:left;"><strong>Phase I: Brand Identity / Logo Redesign</strong><br />
We are looking for a partner that has experience in brand development that will help DUO better connect with itscore audience and stand out as a leader in its community. The successful applicant will provide a modern, professional logo and basic professional branding deliverables that will include a full web and print style guide. Upon completion of the logo design and identity documentation DUO will assume full responsibility for additional usage of the logo and branding.</p>
<p style="text-align:left;"><strong>Phase II: Website Redesign (www.danceumbrella.net)</strong><br />
The new website will incorporate the branding work completed in Phase I and will serve to better support the new mission of DUO. On the technical side, this new build will be crafted with the latest web development best practices to create a compelling end user experience. The website will provide a backend that is simple for our marketing staff to maintain and update (a skinned CMS, relying on as few plug-ins as possible to function would be ideal). The site should also feature an intuitive, modern and responsive user interface that is functional across all platforms. In addition, DUO is interested in using social media strategies to best leverage our niche communities in marketing our services. DUO currently uses the Google Business platform.</p>
<p style="text-align:left;">It is important that this site be rigorously tested to be secure, stable and fully functional across all platforms. Please also be prepared to briefly train staff in the correct use of the site/cms backend. Site copy will be provided to the successful applicant by DUO. Upon completion of the development of the site, DUO will assume full responsibility for website content maintenance and administration.</p>

DUO’s new website will be accessed by:<br />
• Our current clients and members of the dance community who make use of our resources.<br />
• Potential new clients who are driven to DUO through social media, search engines or referral.<br />
• DUO’s funders and partners.<br />
We are most interested in a platform that focuses on what the ‘next steps’ are for visitors to the site; how they can access and/or use our services and resources.</p>
<p><span style="text-decoration:underline;"><strong>Timeline</strong></span>:<br />
The proposed go-live date is June 2013. DUO will make every effort to offer timely advice and revisions to concepts presented in order to meet this target deadline.</p>
<p><span style="text-decoration:underline;"><strong>Budget</strong></span>:<br />
DUO is a not-for-profit organization with three full-time and two part-time staff. Organizational scope and size should be taken into consideration when providing a proposal. Cost will be an important evaluation criterion. Proposals may offer a fixed rate or hourly rate inclusive of HST, as long as charges are clearly explained and estimated cost will not exceed the confirmed (at contracting) project budget.</p>
<p><span style="text-decoration:underline;"><strong>Your proposal to address DUO’s requirements as outlined in this call should include:</strong></span></p>
<p><strong>1. A full statement of work and/or project plan outlining:</strong><br />
-All tasks, milestones, UAT plans, and schedules<br />
-Release dates</p>
<p><strong>2. Cost breakdowns: The fee structure and how DUO will be charged including all costs</strong>:<br />
-The budget must encompass all design, production, and any software acquisitions<br />
necessary for development and maintenance of the web site. The price you quote should be inclusive<br />
-If you are inclined, please provide several cost proposals to accomplish the project. If<br />
your price excludes certain fees or charges, you must provide a detailed list of excluded<br />
fees with a complete explanation of the nature of those fees.</p>
<p>3. A brief history and profile of the firm and/or short biographies of key designers.<br />
4. All proposals must include a portfolio of at least 5 recently designed logos.<br />
5. 3 references from clients comparable to our organization; include contact name, telephone number, website location, services provided, and length of service.</p>

<p><span style="text-decoration:underline;"><strong>DUO provides services to dance enterprises (artists, collectives or companies) and to the wider dance community in three formats:</strong></span></p>
<p>1. <em><strong>Project Partnerships</strong></em>: DUO’s definition of a ‘project’ is broad; any time-defined activity that a dance enterprise undertakes, around which DUO and the enterprise can negotiate terms of administrative support. DUO endeavours to articulate the mechanisms by which our resources can best serve the success of that venture. With this information DUO and the dance enterprise can mutually assess the benefits of the working relationship and<br />
agree to begin work. These well-defined engagements can be short- or long-term.</p>
<p><span style="text-decoration:underline;">Examples include:</span><br />
• Production administration, box office coordination, marketing coordination, and touring coordination for public performance.<br />
• Project management of annually occurring activities such as an intensive training programs or workshops.<br />
• Business planning for enterprises in development.</p>
<p>2. <em><strong>Hourly Services</strong></em>: DUO provides quality services that are carried out and billed on an hourly basis. Staff and/or associates who have expertise in the field execute these services. These typically include services such as:<br />
• Financial/Bookkeeping Service<br />
• Grant Review Service</p>
<p>3. <em><strong>Strategic/Community Initiatives</strong></em>: As a publicly funded community leader and service provider, DUO aims to not only provide services to individual dance enterprises but also undertake strategic initiatives that contribute to the overall health and well-being of the Ontario dance sector. These initiatives aim to address critical sector-wide<br />
needs or challenges. They could include:<br />
• A broad based online/webinar teaching program<br />
• Audience development programs<br />
• A presentation series</p>
<p>As an ongoing service to the community, DUO also provides free mini-consultations to newcomers. The organization makes its staff available to consult with any dance company or artist on a topic of their choice (frequently grant-writing, production, fundraising questions) for an hour free of charge.</p>
